Privacy Policy

Salon Japan Co., Ltd. ("we", "us" or "our") sets out this Privacy Policy (this "Policy") for how we handle users' personal information on the websites and services we provide (including RundownSync, the smartphone application we provide; together, the "Services").

1. Information we collect

When you use our inquiry form, buy equipment or apply for our services, we may collect the following personal information:

- Name

- Company name

- Email address

- Telephone number

- Other information provided in connection with an inquiry or transaction

When you use RundownSync, we collect the following information:

- Your Google account information (email address, display name and an identifier for your account). We receive it through Google when you sign in to RundownSync.

- Information about the events you create (event name, date, rundown content, etc.). On the free plan, this information is stored only on your device and we do not receive it. On the paid plan, it is stored in the cloud service we use.

- Templates, and information about sharing events (members of a shared event, when they joined, etc.)

- Subscription information (whether you have a paid plan, its expiry, and purchase, renewal and cancellation history). We receive it through Google Play and our subscription management service. Payment details such as credit card numbers are handled by Google Play; we do not receive them.

- Information to confirm that RundownSync is the genuine app, and connection records (IP address, time, device and OS type, etc.)

RundownSync may use the camera or photos to read a share QR code. Camera images and selected photos are processed only on your device to read the QR code, and are not sent to or stored by us. RundownSync does not show ads or track users for advertising.

2. How we use personal information

We collect and use personal information for the following purposes:

- To provide and operate our services (film and video distribution and promotion, shooting consulting in Hong Kong and China, live streaming, etc.)

- To sell, ship and provide technical support for professional camera equipment (Z CAM, Nitze, FEELWORLD, etc.)

- To provide and operate RundownSync (including sign-in, creating, showing and syncing events across devices, sharing events, providing the paid plan and checking subscription status)

- To prevent misuse of the Services and keep them secure

- To answer inquiries (including verifying your identity)

- To inform you about new products, events, stage greetings, film releases and other services we provide

- To send important notices about RundownSync (such as changes to the Terms of Use, or advance notice before deleting an account that has not been used for a long time)

- To communicate with and manage business partners through our customer management system

- To improve the Services and investigate problems

- Purposes incidental to the above

3. Disclosure to third parties, joint use and service providers

Except where permitted by the Act on the Protection of Personal Information of Japan or other laws, we do not provide personal information to third parties without the user's prior consent.

To promote cross-border film and video business and to provide international production services and support smoothly, we may jointly use personal information with Salon Films HK (香港沙龍電影) within the purposes set out in section 2. However, information collected in RundownSync is not included in this joint use.

In RundownSync, when you use the event sharing feature, the email addresses of the creator and the members are shown to every member of the shared event. If a share QR code is forwarded or posted, people the creator does not know personally may join the event and see the members' email addresses. Please take care when handling share QR codes.

To provide RundownSync, we use the services of the following providers and entrust them with handling personal information. Both are based in the United States. The United States has no comprehensive law equivalent to Japan's Act on the Protection of Personal Information, but has state laws and other rules protecting personal information. We supervise these providers as necessary and appropriate to ensure that personal information is handled properly.

- Google LLC (Firebase, Google Cloud, Google Play): sign-in, data storage and sync, server processing, misuse prevention, and subscription payments. RundownSync's event data and similar data are stored in a data center in Japan (Tokyo).

- RevenueCat, Inc.: subscription status management

4. Security

We take necessary and appropriate security measures to prevent leaks, loss or alteration of personal information, and manage it strictly. Our main measures include limiting who handles personal information, encrypting communications, managing access rights, restricting access from anything other than the genuine app, and limiting access to data to the user and the members of a shared event.

5. Cookies and similar technologies

Our website uses cookies to analyse how the site is used and to make it more convenient. You can disable cookies in your browser settings, but some features of the website may then be unavailable. RundownSync does not use cookies.

6. Retention

We keep personal information for as long as needed to achieve its purposes, or for the period required by law. For RundownSync:

- If you delete your account or data, we delete the events you created that are stored in our cloud (they are also removed for the members you shared them with) and your templates.

- If your paid subscription ends, we save the events you created on your device and then delete the cloud data. Even if they cannot be saved on your device, we delete the cloud data 30 days after the subscription ends.

- Accounts with no sign-in for 2 years are deleted, together with related data, after advance notice.

- Backups kept in case of failures are stored for up to 7 days and then deleted automatically.

- Subscription records may be kept for the period required for accounting and tax purposes.

7. Disclosure, correction, deletion, etc.

If you ask us to disclose, correct, add to, delete or stop using your personal information, we will respond promptly in accordance with law after confirming your identity.

You can delete your RundownSync account and data yourself at any time from the app's settings screen. If you cannot use the app, please contact us at the address below from the email address of the Google account you use to sign in to the app, with the subject "RundownSync account deletion request". Deleting your account does not automatically cancel your Google Play subscription. Please cancel it in Google Play under "Subscriptions".

8. Users outside Japan

The Services can be used from outside Japan. Personal information of users who live outside Japan is transferred to and handled by us in Japan and by the service providers named in section 3 in the United States. Depending on where you live, the protection of personal information in Japan and the United States may not be at the same level as in your country or region.

(1) Users in the European Economic Area (EEA), the United Kingdom and Switzerland

- Under the General Data Protection Regulation (GDPR) and other applicable laws, we handle personal information on the following legal bases:

  - Providing RundownSync (sign-in, storing, syncing and sharing events, and providing the paid plan): performance of our contract with you

  - Preventing misuse of the Services, keeping them secure, improving them and investigating problems: our legitimate interests

  - Keeping subscription records: compliance with legal obligations

  - Informing you about the services we provide: your consent, which you may withdraw at any time

- Japan is recognised by the European Commission and the UK government as providing an adequate level of protection for personal data. Transfers to our service providers in the United States rely on safeguards permitted by applicable law, such as participation in the Data Privacy Framework or the standard contractual clauses adopted by the European Commission.

- You have the right to request access to, correction or deletion of your personal information, to restrict or object to its handling, to data portability, and to withdraw your consent. Please send requests to the contact in section 10. You also have the right to lodge a complaint with the supervisory authority in your country.

- We do not make decisions based solely on automated processing (including profiling) that produce legal effects concerning you.

(2) Users in the United States

We do not sell personal information, and we do not share it with third parties for targeted advertising. Under the laws of California and other states that apply, you may request access to, correction of and deletion of your personal information. We will not treat you unfavourably for exercising these rights.

(3) Users in other countries and regions

If the laws of your country or region give you additional rights, we will respond in accordance with those laws.

9. Children's personal information

RundownSync is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If the laws of your country or region do not allow you to consent to the handling of your personal information on your own at your age (for example, under 16 in some EEA countries), please use RundownSync only with the consent of a parent or guardian. If we learn that we have collected personal information from a child under 13, we will delete it promptly.
